How Team Approvals work

Send scheduled posts to a teammate or client for sign-off before they publish.

What it is

Team Approvals lets you flag a scheduled post for review before it publishes. The post stays paused until one of your approvers approves it. Rejected posts bounce back to you with notes.

Who it's for

  • Agencies running social for clients who need brand sign-off
  • Teams where a manager or copywriter needs the final say
  • Anyone who wants a second pair of eyes before content goes out

How it works at a glance

  1. Invite an approver by email from Settings → Team Approvals
  2. They click your invite link, sign in (or sign up — no subscription needed for approvers), and start reviewing
  3. When you schedule a post, tick Require approval before publishing in the composer
  4. Your approvers get an email with a link to the queue
  5. Whichever approver clicks Approve first wins. The post publishes at its scheduled time.
  6. If they reject, the post stays paused. You edit, save, and it bounces back to pending automatically.

Key concepts

Any one approver approvesIf you have 3 approvers, any one of them can sign off. You don't need all three.
Sticky requirementOnce a post has gone through review, you can't remove the approval requirement to bypass it.
Edit-resets-approvalEditing the content of a reviewed post sends it back to pending. Schedule-only edits don't.
ExpirationIf no approver acts before the scheduled time + 5 minutes, the post is marked expired and held back rather than published un-reviewed.
Per-client scopingAn approver can be limited to specific clients (covered in a separate article).

What approvers see

Your approvers go to /approvals in their browser. They see only posts you've flagged for their review. Each post shows the caption, media (full-size, with video controls), platform icons, scheduled time, and a discussion thread for back-and-forth with you.

What you (the owner) see

Approval-flagged posts show a colored corner badge on their card in the scheduled-posts list and the calendar view:

  • Amber Awaiting review
  • Green Approved
  • Red Rejected
  • Gray Expired without review

Click any badge to open the discussion page (/dashboard/approvals/[postId]).
