Team Approvals troubleshooting
Common questions and edge cases for the approval workflow.
I don't see the "Require approval" toggle
The toggle hides when there's no eligible approver for the post. Check:
- Have you set up at least one active approver in Settings → Team Approvals?
- If you've selected a client profile in the composer, do any of your approvers cover that client (or "All clients")?
- Have you picked a scheduled date and time? The toggle doesn't show on Post Now.
My approver isn't getting the invite email
Email delivery is best-effort. If they don't receive it:
- The form also displays the invite URL right after you click Send. Copy and share it manually.
- Check their spam folder.
- Confirm the email is correct in the Approvers list.
My approver got the link but can't accept
- They must sign in with the same email the invite was sent to.
[email protected]and[email protected]are different accounts. - If they don't have an account yet, the link offers Create Account — they can sign up without a subscription.
A post expired before review
When a flagged post passes its scheduled time + 5 minutes without a decision, SocialCal marks it expired_unapproved and does not publish it. You get an email.
To re-send it:
- Open the post (click the gray "Expired" badge)
- Click Edit & resubmit in the status panel
- Pick a new schedule time and save — the approval requirement is sticky, so it'll go back to your approvers
I edited a rejected post but approval didn't reset
The reset triggers only on content edits (caption, media, platforms, format flags, etc.). Schedule-only edits (just changing the time) don't reset approval — so an already-approved post stays approved when you push it back an hour.
If you want to force a re-review without changing content, the simplest workaround is to add and remove a single character in the caption — that counts as a content edit.
Two approvers clicked Approve at the same time
The first one wins. The second sees a soft notice ("Already approved by Alice — your decision wasn't recorded") and the post drops out of their queue. The post is approved exactly once, by exactly one person. No double-records.
I can't remove the approval requirement on a reviewed post
That's intentional. Once a post has gone through any review (approval state set to pending, approved, rejected, or expired), the requirement becomes sticky to prevent bypass. To skip approval, cancel the post and create a new one with the toggle off.
My all-clients approver should be limited to one client now
In-place scope editing isn't supported yet. Workaround:
- Revoke their access from the Approvers list
- Re-invite with Specific clients only and pick the client(s)
- They'll get a fresh accept link
